Conference Logistics Note and Information Package

The 9th Africa Animal Animal Welfare Conference, scheduled to take place both virtually through a Zoom platform and in-person at the Hotel Franco, Yaounde, Cameroon on 28-30 July 2025.

Please read and take note of the information below:

Physical / In-Person Participants

If you regisitered to participate in-person at the Hotel Franco, Cameroon, please take note of the following:

1. Visa Application Requirements and Process

Visa Requirements

  1. Invitation letter from Cameroon, signed and stamped by the police
  2. Organization support letter
  3. Flight itinerary
  4. Hotel reservation
  5. International vaccination certificate (Yellow fever)
  6. Valid passport

If you require a visa to travel to Cameroon for the conference, you will need a letter from the Cameroon governmnet, signed by the police for you to be able to apply for the visa. Please, reach out to us to facilitate the letter by 17th July 2025. Reach us through info@aawconference.

2. Badges / name tags - To facilitate timely printing of conference badges/name tags, in-person registrations to attend the conference will close on Monday, 24, July 2025. In-person delegates will receive their badges on Monday, 28th July 2025 at the entrance to the conference room. Delegates are required to come with their own lanyards.

3. Conference Programme and any other conference material availability - Conference banners will be placed strategically at various points at the conference venue. These banners will be intergratted with a QR code, and delegates will be able to scan the code and get any other conference material. In addition, we will sen the conference programme to all delegates few days to the conference. 4. Water Bottles - Delegates are required to carry their own reusable water bottles for use during the conference. Water dispensers will be placed at different points for delegates to re-fill whenever needed.

*All delegates participating in-person are required to cater for their visa application fees and flight tickets to and from Yaounde, Cameroon.

*In-person delegates who do not book and pay accommodation with us are required to cater for their own accommodation, breakfast & dinner as well as daily transport to and from the conference venue.

Virtual / Online Delegates

If you registered to participate virtually, please take note of the following:

1. Zoom Link - You will receive a Zoom link on 21st July 2025.

2. Register Your Details on Zoom - You are required to register into the Zoom platform by 25th July 2025. Once you register, you will receive information how to Join the conference. This will also ensure that you receive reminders about the upcoming sessions so that you do not miss out on any of the sessions. While registering into the Zoom Platform, please use the same email address and names you used during registration.

3. You will be able to interact with the conference speakers and moderators virtually. If you need to verbally ask a question or make a contribution, you can indicate that in the chat and you will be given the rights to give your contribution. In addition, virtual delegates can post questions and comments on the chats. All these will be attended to by the respective speakers.

4. Please, ensure that you have a reliable internet connection for a smooth conference proceeding.

 

All participants (both physical and virtual) will receive a certificate of participation generated digitally after the conference.
